Seats and Team Access

Invite teammates to your Outercite workspace, understand the available roles, and manage access as your team changes.

Outercite lets you invite teammates so they can view citation data, run reports, and manage keywords without sharing your login. Each person gets their own account with a role suited to what they need to do.

Roles in an organisation workspace

Organisation workspaces have two roles.

AdminFull access: manage keywords, competitors, alerts, integrations, billing, and team members
ViewerRead-only: view the dashboard, citations, reports, and competitor data. Cannot add keywords, change settings, or invite others

Give Admin to whoever manages the Outercite setup day to day (typically a marketing manager or SEO lead). Give Viewer to stakeholders, executives, or external partners who need to read the data but should not change the configuration.

The account that created the workspace is the workspace owner. The owner always has Admin access and cannot be downgraded.

Inviting a teammate

  1. Go to Settings in the sidebar.
  2. Select Team.
  3. Click Invite Member.
  4. Enter the email address (or multiple addresses separated by commas for bulk invites).
  5. Choose a role: Admin or Viewer.
  6. Click Send Invite.

The invitee receives an email with an acceptance link. If they already have an Outercite account under that email, they are added to your workspace when they accept. If not, they are prompted to create an account during the acceptance flow.

Invitation links expire after a set period. If a link expires before the invitee accepts, you can resend it from the Team screen.

Confirming someone has joined

After a person accepts, their status in the Team list changes from Pending to Active. You also receive an email confirmation.

If a pending invitation sits for more than a couple of days, it is worth following up: invitation emails sometimes land in spam, particularly for corporate domains with strict filtering.

Changing a member's role

You can change a member's role at any time.

  1. On the Team screen, find the member.
  2. Click the role badge (showing Admin or Viewer) next to their name.
  3. Select the new role from the dropdown.

The change takes effect immediately. The member is not notified automatically.

Removing a member

When someone leaves the team:

  1. On the Team screen, click the three-dot menu next to their name.
  2. Select Remove from workspace.
  3. Confirm.

Access is revoked immediately. Reports they previously exported remain in the workspace's report history, as those belong to the workspace rather than the individual.

If you remove another Admin and are now the only Admin, make sure to add a second Admin soon. Having at least two Admins avoids being locked out if one account has login problems.

Seat limits

The number of teammates you can invite may depend on your plan. Check your current seat allowance on the Billing screen.

How team access works for agencies

Agency accounts have a different structure. An agency has a parent organisation and one or more client workspaces, each with its own access controls.

  • Within the agency parent org: team members can be invited with similar Admin/Viewer roles.
  • Client workspace access: each client workspace has its own permissions. You can control which team members can see which clients, and whether clients can log in themselves.

If your business works with an external agency, you have two options. You can invite the agency as a Viewer in your own workspace, or ask the agency to connect your brand as a client workspace in their agency account. The second option gives the agency full management access without needing an Admin seat in your workspace.
