Export a Report
Export your Outercite citation data as a PDF or CSV, understand what each format includes, and schedule recurring report delivery.
Outercite reports let you share citation data with stakeholders who do not have a login, schedule regular summaries for internal reviews, and keep an offline record of your AI search visibility over time.
What you'll learn
- How to generate a one-off PDF or CSV export
- What data each format contains
- How to schedule recurring reports and send them to email recipients
Before you start
Reports are generated from the data already in your workspace. There is nothing to configure before your first export, but your results will be richer if you have at least a week of citation history and at least one competitor tracked. If you are just getting started, follow the Org Quickstart first.
Step 1: Open the Reports screen
- Log in and go to your Dashboard.
- Click Reports in the left sidebar. The URL is
/reports. - Click New Report in the top-right corner.
Step 2: Set the date range
Choose a start and end date for the report window. Common choices:
- Last 7 days for a weekly standup summary
- Last 30 days for a monthly stakeholder report
- Custom range for campaign-aligned periods (for example, the two weeks before and after a content push)
Outercite retains full citation history from your workspace creation date. You can export data going back as far as your account allows, not just the current window.
Step 3: Choose what to include
Toggle the sections you want in the report. Available sections are:
| Section | What it contains |
|---|---|
| Summary | Overall citation rate, visibility score, and trend vs. previous period |
| Per-engine breakdown | Citation rate and check count for each of the six AI engines |
| Keyword performance | Citation rate per keyword, sorted highest to lowest |
| Competitor comparison | Your citation rate vs. each tracked competitor, plus share of voice |
| Lost citations | Keywords where citation was lost during the period |
| Confidence distribution | Breakdown of citations by confidence score band |
You do not have to include every section. For a quick exec summary, the Summary and Competitor comparison sections alone are usually enough.
Step 4: Choose the format
PDF is best for stakeholder presentations and offline sharing. The exported file includes:
- Your brand name, logo, and the report date range in the header
- All selected sections formatted as readable pages
- A chart for citation rate trend and a share of voice breakdown if competitor data is included
PDF reports are generated server-side and are usually ready quickly.
CSV
CSV is best for further analysis in a spreadsheet or BI tool. The export creates one file with:
- One row per citation check, with columns for: keyword, engine, date, cited (true/false), confidence score, and competitor mentions
- A summary tab with aggregate metrics matching the selected sections
The CSV includes all citation checks in the selected window, not just verified citations. This means you can calculate your own rates and filter however you need. Large date ranges produce large files, so export in shorter windows if you need fast downloads.
Step 5: Download or schedule
Download now
Click Export to generate the report immediately. A download link appears once the file is ready; PDFs take a little longer than CSVs. The file is also saved to your Reports history so you can download it again later.
Schedule recurring delivery
- After configuring the report, toggle Schedule this report instead of clicking Export.
- Choose a frequency: Weekly (Monday delivery), Monthly (first of the month), or Custom (pick any day).
- Enter one or more recipient email addresses.
- Click Save Schedule.
Scheduled reports run automatically. The first delivery happens at the next scheduled date. You can edit or cancel a schedule at any time from the Reports screen.
Scheduled reports use the same date range logic on each run. "Last 7 days" always means the seven days before delivery, not a fixed window. If you need a fixed period, use a custom date range and export manually.
What is NOT included in exports
- Raw AI engine responses (these are not stored for privacy reasons)
- Citation text or verbatim quotes from AI answers
- Data from other workspaces (each export is scoped to the current workspace)
Tips for better reports
- Add the Competitor comparison section even for internal reports. Seeing share of voice in context makes citation rate changes easier to explain.
- If you are reporting to a client or executive, use PDF. If you are handing off to a data analyst, use CSV.
- Save a scheduled monthly report to a shared inbox (for example,
marketing@yourcompany.com) so the whole team has access without needing individual Outercite logins.
