Schedule Recurring Client Reports
How to set up automatic branded monthly or weekly reports for each client, sent from your agency email address on a fixed schedule.
Recurring reports keep clients informed without any manual effort on your part. Once configured, Outercite generates a branded PDF and sends it from your agency domain on the schedule you choose.

Before you start
You need at least one week of citation data in the workspace before a report is worth sending. If you have just onboarded the client, trigger a manual audit first and wait 24 hours for data to populate. See Onboard a New Client if you have not completed that step yet.
Also confirm that your white-label settings are configured at the parent org level. Reports inherit the logo, colour scheme, and sender address from those settings. See White-Label Reports for the full setup.
Step 1: Open the reports screen
- Switch into the client workspace from your portfolio at /agency.
- In the left nav, click Reports, or go directly to /reports.
- Click New report.
Step 2: Choose a schedule
Outercite offers three schedule types:

For most agency clients, Monthly is the right default. It lines up with billing cycles and gives enough data to show meaningful trends.
Check the report settings for available delivery options, including timezone and delivery time configuration.
Step 3: Configure branding
- In the Sender name field, enter your agency name or the name your client sees in their inbox (e.g. "Search Insights from Clarity Digital").
- In the Reply-to address field, enter your agency email. This is what clients reply to if they have questions.
- The logo and colour scheme come from your parent org white-label settings. If they look wrong, click the link to update them at the org level.
The From address is set at the parent org level and requires DNS verification (SPF and DKIM). If you skip this, reports send from a generic Outercite address, which breaks the white-label experience. Check White-Label Reports for the DNS steps.
Step 4: Choose content sections
Each report is modular. Toggle sections on or off:

Turn on Recommended actions if you want Outercite to do the commentary work for you. Turn it off if you prefer to write the narrative yourself and attach it separately.
Step 5: Add recipients
- In the Recipients field, add the client's email address.
- To copy your account manager, click Add CC and enter their address.
- Check the report settings for the maximum number of recipients supported. All recipients get the same branded PDF.
To send a report to a client contact who should not have login access to the workspace, use the recipients field here. They will receive the PDF by email only, with no link to the dashboard.
Step 6: Send a preview
Before saving, click Send preview. Outercite generates the current report and sends it to your own email address. Check:
- Logo renders correctly and is not blurry
- Sender name and reply-to address are correct
- Content sections show real data (not placeholder text)
- Colour scheme matches your brand
Once the preview looks right, click Save report. The schedule is now active.
Editing a live report schedule
To change the schedule, recipients, or content sections after the report is live:
- Go to /reports.
- Click the report name to open its settings.
- Edit the relevant fields and click Save changes.
Changes take effect at the next scheduled delivery. They do not trigger an immediate re-send.
To pause a report without deleting it, toggle Active to off. The schedule is preserved, so you can re-enable it later.
Try this in Outercite
Go to /reports inside any client workspace and click New report to set up your first scheduled delivery.
