Parent Orgs vs Workspaces

Understand how Outercite separates your agency account from each client's isolated workspace, and what that means for data access and context switching.

Outercite is built for the way agencies actually work: one team, many clients, strict data separation. The multi-tenant model at the centre of this is simple once you see it. Your agency lives in a parent org, and every client lives in their own isolated workspace inside it.

The parent org: your agency's home

When you sign up as an agency, Outercite creates a parent org for you. Think of this as the container that holds everything: your billing, your team, your branding settings, and all your client workspaces.

Only people with an agency admin role can see the parent org level. From there, admins can:

  • Create and archive client workspaces
  • Invite team members and assign them to specific workspaces
  • View the portfolio health dashboard across all clients
  • Manage the single consolidated invoice for all keyword activity

The parent org is never visible to clients. A client viewer logging in only ever sees their own workspace. They have no idea how many other clients you manage, and they cannot access any data outside their workspace.

Workspaces: isolated environments per client

A workspace is a self-contained environment for a single client. It holds:

  • The client's tracked keywords (also called prompts)
  • The client's competitor list
  • Citation history and verification results
  • Reports and alert settings
  • Any team members who have access to that client

Data never leaks between workspaces. A campaign manager working on Client A cannot see Client B's keywords, citation rate, or reports, even if they are in both workspaces. Each workspace enforces access at the data layer, not just the UI layer.

Context switching: moving between clients

When you are logged in as an agency admin or account manager, you will see a workspace switcher in the top navigation. Click it to see all the workspaces you have access to, then select a client to enter their environment.

Switching context does not log you out. Your session stays active, and you move directly into the selected workspace. The URL changes to reflect the active workspace, so you can bookmark specific client dashboards.

If a workspace is archived, it disappears from the switcher but is not deleted. Archived workspaces retain their citation history. An admin can restore them at any time from the parent org settings.

What agency admins see vs workspace members

There are two distinct views in Outercite, depending on your role:

Agency admin view (parent org level):

  • Portfolio health summary: which clients are "Needs Attention", "Monitoring", or "On Track" based on the last two weeks of citation activity
  • Total keyword count across all workspaces (this drives your billing tier)
  • Team management across the whole agency
  • Consolidated reporting settings

Workspace member view (inside a single client workspace):

  • That client's citation rate, visibility score, and share of voice
  • Keyword and competitor management for that client only
  • Report scheduling for that client
  • No visibility into any other workspace

This separation is deliberate. It lets you give a client viewer login without worrying about accidental data exposure. It also lets you onboard junior team members to a single client without handing them keys to the whole agency.
