Agency Quickstart
Set up your parent organisation, add your first client workspace, invite the team, and run your first report in one day.
Outercite is built for agencies running multiple clients at once. This guide walks you through the full first-day setup: parent organisation, client workspaces, team invites, digest and alert configuration, and your first monthly report. You can typically set up several clients in a day; setup time per client varies depending on keyword volume and how much information you have to hand.
What you'll learn
- How to set up your parent organisation and add your first client workspace
- How to invite your account team and configure digest emails and surge alerts
- How to run a monthly citation report for a client
Step 1: Create your parent organisation
Your parent org (see the glossary) is the top-level account that owns all client workspaces. It is where billing lives, where you manage your team, and where the agency dashboard shows a cross-client view spanning all six AI engines.
- Go to /onboarding and choose Agency when prompted.
- Enter your agency name, primary domain, and billing contact.
- Confirm your wholesale plan. Outercite bills on total active keywords (also called prompts) across all clients, so you only need one plan, not one per client. See Wholesale Pricing Explained for the full breakdown.
Once confirmed, you land on the agency portfolio view at /agency. It is empty for now. That changes in the next step.
Step 2: Add your first client workspace
Each client gets an isolated workspace: separate keywords, competitors, reports, and citation data. Nothing bleeds between clients. For the full picture of what isolation means, read Creating Your First Workspace.
- From /agency, click New workspace.
- Enter the client's brand name and primary domain.
- Add their first batch of keywords on the /prompts page. Start with 20-40 prompts covering their core services. You can add more later.
- Add their main competitors at /competitors. Two or three to start is enough.
Outercite tracks citations across six AI engines: ChatGPT, Claude, Perplexity, Google AI, Grok, and DeepSeek. Every keyword you add is checked against all six automatically. You do not need to configure engines per workspace.
The verification pipeline runs in the background. Within the first few hours you will see citation data arrive. The pipeline runs intent classification, deep analysis, and cross-verification by a second, independent model. Only citations both models agree on are counted, which keeps false positives near zero.
Step 3: Invite the account team
You do not need to give everyone access to every client. Outercite uses a permissions model where team members are invited at the workspace level.
- Open the client workspace from /agency.
- Go to Settings > Team inside that workspace.
- Enter your account manager's email and assign their role (Viewer, Editor, or Admin).
- Repeat for each client workspace.
For a detailed look at role options and what each one can do, see Client Permissions Model.
Parent org Admins can see all workspaces by default. If you have contractors or junior staff who should only see specific clients, invite them at the workspace level, not the parent org level.
Step 4: Turn on the weekly digest and surge alerts
The weekly digest is an email summary of each client's citation activity over the past seven days. It is sent every Monday and includes citation rate, visibility score, and any notable changes.
- Go to /settings/notifications inside the client workspace.
- Enable Weekly digest and confirm the recipient email. This can be the account manager, the client, or both.
- Enable Surge alerts to get notified when a competitor's citation rate spikes sharply. This is especially useful for clients in competitive categories.
For a step-by-step on digest configuration, see Send the Weekly Digest.
Step 5: Run your first monthly report
Outercite generates white-label reports you can send directly to clients. A monthly report covers citation rate trends, share of voice against competitors, per-platform coverage across the six engines, and a list of recommended actions.
- Go to /reports inside the client workspace.
- Click New report and select Monthly summary.
- Choose the date range (last 30 days works for a first run), add your agency logo if you have not already, and click Generate.
- Download the PDF or copy the shareable link.
For recurring reports on a fixed schedule, see Schedule Client Reports.
Agency dashboard: the full portfolio view
Once you have more than one client live, the agency dashboard at /agency becomes your daily home screen. It shows portfolio health across all clients in three buckets: Needs Attention, Monitoring, and On Track. These buckets are based on the last two weeks of citation activity and update automatically. No manual tagging required.
The dashboard spans all six engines, so if a particular engine (say, Google AI, which currently has the lowest aggregate citation rate at 38%) is dragging a client's score down, it surfaces immediately.
An experienced account manager can typically complete parent org setup, workspace creation, keyword seeding, team invites, and digest configuration for several clients in a single day. Setup time per client varies based on keyword volume and how prepared the client information is.
